During Olympic years we see an uptick in interest in our sport, so this year we've created some special promotions designed to capture the interest of anyone visiting our website or social media sites. We're also reaching out to previous members who haven't renewed in 2016 and those who participated in a USMS event or activity via a one-event or 30-day trial waiver.

But we need your help! We're asking all LMSCs to spread the word about these special promotions and help us grow our membership. You'll be receiving another email soon with promotions to increase membership in your clubs and workout groups, including a brand-new Year-plus membership option that starts in August, a Pace Clock Pro contest , a "Try Masters Swimming Day," and a hilarious, fun, and shareable video. We'll also be providing some text that you can copy and paste to your websites, newsletters, emails, and other communications to members. We look forward to working with all of you!
USAS Convention 2016
Lots of details below to plan your trip to this year's meeting
Convention
The United States Aquatic Sports Convention will be held at the Hyatt Regency Atlanta, Atlanta, Ga., Sept. 21 through 25. Registration forms, travel, shuttle, and tourist information is available on the   USAS website.
 
USMS meetings begin on Wed., Sept. 21. The convention page at  usms.org contains the schedule and other information.
 
Delegate Registration
All persons attending or presenting at any meeting at convention MUST be registered for Convention. Online registration is now available.
 
Fees
  • $180: Early bird online or postmarked on or before Aug. 29, 2016
  • $210: Regular registration online or postmarked on or after Aug. 29, 2016
  • $75: One-day registration
  • $140: Two-day registration 
Registration
  • Group registration form: For those LMSCs with five or more delegates, you can opt to fill out the group registration form, paying with one check.
  • Paper registration form: Individual, paying with check
  • Online registration: Available for individuals who prefer to pay by credit card, and you can register as many attendees as you like during the session. 
Hotel Reservations
Hotel information can be found on the USAS website. You are responsible for making your hotel reservations. The convention room rate is $132/night plus tax. You can also make reservations by calling 1-800-233-1234. The room block closes after August 15, 2016 or when it fills, whichever happens first. If you have any problems making hotel reservations, please contact Tracy Grilli.
 
Air Transportation
The closest airport to this year's convention is Hartsfield-Jackson Airport (ATL).
 
Land Transportation
Super Shuttle (a shared ride transportation service) is available for $14.50 one way and $20 round trip (with round trip reservation). Discount Code WT76N.  Taxis cost $30 for the first person, $2 for each additional. The taxi stand is immediately outside the terminal. Another option is to take the MARTA (Metropolitan Atlanta Rapid Transit Authority)  to the Peachtree Center Station
 
Driving Directions
Driving directions can be obtained by typing the following address into MapQuest or Google : 265 Peachtree St. NE, Atlanta, GA 30303
 
Parking
Guests may elect to self-park at off-property parking garages (Peachtree Center, SunTrust Plaza or Courtland St) $20/24 hours. Valet parking is $35 per 24 hours for delegates and volunteers.
 
Internet
Wireless Internet connectivity will be available in the House of Delegates, all meeting rooms. It's also available at no charge in all guest rooms.
 
Certification Table
The certification table will be open on Wednesday from 8 a.m. until 5 p.m. (vendor area), Thursday from 7 a.m. until 7:45 a.m. (vendor area), Thursday afternoon through Saturday (come find Mary Hull).

Please note that USMS continues its efforts in going green.  Therefore, we are requesting that you either download the pre-convention files to your laptop or tablet (that you'll be bringing with you), print the documents yourself and bring them, or have them printed at a local copy shop.
 
The sections of the preconvention packet will be posted on the convention page as they are received with the full packet by August 26th. This packet includes reports from the Executive Committee, National Office, and Liaisons & Special Appointments, in addition to committee reports and meeting agendas. It also includes election information, rules, long distance rules, and legislation proposed amendments, as well as other important documents and announcements.
Meeting Minutes

In our continual efforts to go green, the infamous accordion files are gone. USMS is paying for wireless Internet in all meeting rooms including the House of Delegates. Meeting minutes will be uploaded immediately following each meeting and will be accessible from the Meeting Minutes page of the USMS website.
 
A limited number of copies will be printed and available if you do not have an electronic device from which to view or download documents. Please contact Tracy Grilli if you require printed meeting minutes.

Chairs of Finance, Legislation, Long Distance & Rules Committees: Please contact your committee members and report to Tracy Grilli if any members from your committee will not be attending convention.

Reminder: Submit your Expense Report
You have 30 days to submit qualified expenses

Don't forget to submit your expense reports to Susan Kuhlman within 30 days of the conclusion of Convention if you'd like to be reimbursed for qualified Convention expenses. Please download a reimbursement form (in PDF or Word formats) from the LMSC Management section of the Guide to Operations page. Requests for reimbursement must include all receipts and a description of the procured goods or services.

If your LMSC has elected any new officers, please remember to notify Membership Director Anna Lea Matysek of these changes. We need this information to be sure the right individuals are receiving information in a timely manner during their tenure. You can view what is currently on file by choosing your LMSC from the map and then clicking the link for LMSC Officers.  

Working Calendar
Don't miss these important deadlines!

Below are IMPORTANT deadlines from the Working Calendar:
  • August 1: All proposed rule or code changes from Rules, Long Distance, and Legislation Committees are due to Tracy Grilli from respective committee chairs, for inclusion in the convention packet.
  • August 1: Election Committee submits election information to Tracy Grilli for inclusion in the convention packet.
  • August 8: Vice presidents send their committees' annual reports and agendas to Tracy Grilli. Members of the Executive Committee also submit their annual reports and the reports from the Liaisons and Special Appointments they oversee.
  • August 15: All proposed rule or code changes are posted on the convention page.
  • August 26: Convention packets posted on the USMS website and link emailed to all delegates.

Check-Off Challenge Bids Due Aug. 15

The Fitness Committee is accepting bids from clubs interested in hosting the 2016 Check-Off Challenge event until August 15. The challenge is a low-key, year-long event that can promote your club while offering a fun challenge to swimmers well beyond your club's geographical reach. Check out the Check-Off Challenge event page for more information and to register for the 2015 challenge if you haven't already. (You still have six months to swim all 18 events--that's plenty of time, right?!) The host bid packet is also available online and includes all the details about what to expect as a host and how to apply. Contact the Fitness Committee with any questions and good luck!

Spring and summer are common times for people to move, and with all that's going on during a move, it's easy to forget some of the organizations that need your new address. But please don't forget us! USMS needs your updated contact information to ensure timely delivery of SWIMMER magazine and other communications. To update your address, go to usms.org, scroll down, and click the red "Update my Membership" button. It's simple and quick!

The goal of these facilitated calls is to provide an opportunity for you to converse with your peers, pose questions, get answers, discuss challenges, and share successes related to your LMSC volunteer role. In turn, the LMSC Development Committee can use the information shared to help build a repository of best practices for each of our volunteer positions.
