INTRODUCING IN-PERSON BEARBUY SUPPORT
OFFICE HOURS
 
Do you have a question on how to use BearBuy and yo u are looking for in-person help? Now you can  get that help with the new BearBuy Office Hours. Each month, Supply Chain Management representatives will be at campus locations to answer your Bear Buy questions such as:
  • Navigating BearBuy
  • Shopping using catalogs and forms
  • Submitting or approving orders
  • Managing purchase order changes
  • Searching for BearBuy documents
  • Ways to optimize and streamline your BearBuy purchases
  • Managing your BearBuy settings and email alerts
The first BearBuy Office Hours will be held on Thursday, March 22, from 9 a.m. to noon at Mission Bay, Rock Hall 202.
We are here to help, so please come visit us with your BearBuy questions. Everyone who asks a question at the BearBuy Office Hours will receive a reusable tote bag and can sign up to be entered into a drawing for a $25 gift card.

Low-Value Purchasing Authorization Threshold Change
 
The University of California has increased the low-value purchasing authority from $5,000 to $10,000, empowering departments to execute procurement transactions up to $10,000 without the need for central procurement involvement (excludes certain commodity classes such as hazardous and controlled substances).
 
This move reflects the higher level of sophistication of the department buying communities and the increased controls enabled by the advanced procure-to-pay systems in place at most campuses.
This change has multiple benefits for the departments:
  • Departments will be able to execute more of their transactions without the extra time and steps needed to route through central procurement.
  • Central procurement and supply chain professionals will have more capacity to support the department's more strategic procurements and request for proposals (RFPs).
Supply Chain Management (SCM) is targeting mid-May for rollout of this change. In the next couple of months, we will communicate more information and training opportunities supporting this transition.

Improved Software and Cloud Computing Form
 
Last year, a new BearBuy Software form was introduced in order to identify and mitigate notable potential risks associated with software and cloud computing purchases.
  
After the launch, we received valuable feedback from our campus community  ab out the Software form usage and guidance.
 
We listened. We reviewed feedback we received, interviewed frequent users  of the Software form, worked with key campus department stakeholders, and partnered with IT Security  and Audit and Advisory Services to make improvements to the form and processes including:
  • Improved guidance on the types of purchases that should be made using the form
  • Clarity on when the form is not necessary and instead can be purchased using catalog suppliers or other BearBuy forms
  • Reduced the number of fields on the form
  • Clarified that a Statement of Work is only required when purchasing services
  • Improved guidance on the IT Security risk assessment process
  • Provided a contact email for assistance to determine if an IT Security Risk Assessment is required
  • Renamed the form the Software and Cloud Computing Form to better identify the types of purchases the form is used for

Q: 
I would like to cancel my order. If I submit a change order request to cancel the purchase order (PO), can I also request that the canceled PO be sent to the supplier to cancel the order?

A:   To ensure that the supplier cancels your order, please contact the supplier directly about the cancelation before the order is shipped. You can submit a change order request to close (cancel) the PO, but the closed PO is not sent to the supplier. POs are only sent to suppliers again if they require a revised PO to fulfill an order.
