Developing relationships is an important part of the work that we do in PTA, in business and in our schools. With effective communication, we can create authentic relationships with our parents, administrators and community members.
Each year, parents, principals, superintendents, school board members and elected officials attend the Sixth District luncheon. This is an excellent opportunity to hear a wonderful speaker and to meet members of your community and other PTA leaders in Sixth District.

The Smart Talk: Internet Safety

What you hope your kids are doing online isn't always what they're doing.
Join Sixth District PTA to learn how you can use "The Smart Talk", an interactive website to get on the same page with your kids and establish an open conversation about digital safety.
Help families and kids talk about using digital devices responsibly and decide a few important questions together, like:
- What are they allowed to post on social media?
- What should their privacy settings be and what apps can they download?
- How much screen time is ok?
Once these questions have been answered, a custom agreement is created, which can be printed and signed so that all of the ground rules are easily remembered by everyone.

Tax Returns with "extensions" - Oops
Enews Editors are human! I missed the email from our Sixth District Finance Team, which had the correction that the announcement was to be a reminder for halfway through the six-month extension for your 990EZ or 990.
Tax returns with extensions are due
May
15 (yes this is the correct date) to the IRS, FTB, and AG.
After filing, please send copies of your 990/990EZ, 199 and RRF-1 to your council or if out-of-council to Sixth District PTA.

Why is the Restaurant Asking Me for a W-9?
Many restaurants ask PTAs to complete IRS Form W-9 in order to schedule dinner night outs or receive payment.
Questions:
Is the W-9 form the same as the Letter of Determination (LOD) for Tax Exempt Status?
- No, the two forms have different purposes. With the W-9 you are confirming to the restaurant/business that this really is your PTA's EIN number.
- All companies (profit and non-profit) have an EIN, but an EIN doesn't mean that your PTA is a non-profit. The Letter of Determination (LOD) indicates that the PTA has a tax-exempt status and is a non-profit.
Can we just provide the LOD form?
- No. You will need to provide the business with the form they have requested.
If we do need to use the W-9, where do I get the form?
How to fill in the W9:
1. Name: PTA California Congress of Parents, Teachers, and Students, Inc
2. DBA - Write in your unit PTA name as listed in your bylaws
3. Box - would be "Other"; write in "Association 501(c)(3)
4. Exemptions - there would not be any
5 and 6. Address - Use the school address
7. List account numbers (optional) - leave blank
8. Requester's name (optional) - This is who is asking for the form (ie restaurant name etc).
Part 1: Your PTA's EIN
Part 2: President or treasurer can sign the form. Format is the same as signing for a contract:
- "Name of PTA as on bylaws by: Name of officer, position"
- ex: "ABC Elementary PTA by: Jane Doe, President"

When's a Good Time to Do Your Bylaws?
How About Now
If you want to make change(s) for next year in
- your meeting dates for next year,
now is the time! These items are all in the bylaws.
Any changes to bylaws must be submitted to your council (units in councils) or to Sixth District (out-of-council units), then the bylaws go through channels to the CAPTA Parliamentarian. After CAPTA approves the changes, the bylaws are returned to be adopted by your unit.
This sequence takes time (two to three months) - so plan ahead and change your bylaws now!

Finding the Best People to Lead Your PTA
Most PTA's want to have their nominating committee, find the best nominee for each position, and to have those individuals be a team that will work well together.
To help your nominating committee get started with the process, we have resources from CAPTA and Georgia State PTA:

When Should My Nominating Committee be Elected?
Elections of your 2018-2019 officers should be held in March or during the first two weeks of April. Your unit bylaws will specify which month and week your Annual Association Meeting must be held.
The election of the nominating committee should take place at an association meeting at least two (2) months prior to the Annual Association Meeting.
Once elected, it will be the job of the elected nominating committee to find the nominees for the 2017-18 PTA Board.
