GradWeekGrad Week Update
 
As you may be aware, we are hosting and coordinating Faculty of Arts and Science Grad Week events during the week of February 26 - March 2. The School of Graduate Studies and other Faculties will host and participate in a number of events that week and we are working with them to collaborate on promotion, programming and logistics. We will invite all applicants to Queen's, including yours.
 
This year, we are planning online events for Monday - Wednesday and on-campus events for Thursday and Friday. Some of the online events will also take place on the Friday as on-campus events. We also encourage you to organize your own events on the Thursday and Friday. 

Some of the online events we are planning for February 26 - February 28 are:
  • Virtual Live Tours of Campus
  • What you need to know about Grad School Webinar. An intro for current 3rd years.
  • Get the Real Story: Campus Life. Grad student panel on how academics and campus life are different from undergrad livestreamed on social media.
  • Get the Real Story: Living in Kingston. Grad student panel on accommodation, transportation, social activities in Kingston.
  • Get Paid to Learn Webinar. About funding packages available for grad studies.
  • Fast Track it in Arts and Science Webinar. Accelerated program options for 3rd year students.
  • So you've applied - what next? Think Queen's. A webinar to go over the next steps.
 
Some of the on campus events we are planning for March 1 - March 2 are:
  • Social events: Nerd Night/Ideas on Tap and/ or Meet the Deans, Profs & Students
  • Campus Tours
  • Indigenous Scholarship at Queen's. Panel on research, collaborations, and scholarship 
  • Become a Prof or Not Talk. What  is it really like to be a prof (teaching, research, service, supervising students, admin duties) and alternative careers for grads
  • It's Never Too Early to Start Planning. What to do now to get ready for applying next year.
  • Finding a Supervisor. Do you have to? Where do you start? How do you know it will be a good fit?
  • City Tour. Trolley bus tour of Kingston
  • Foodies on Foot. Dinner with a current Arts or Science grad student at a local restaurant within walking distance of Queen's.
  • Live version of webinars (Fast Track, Get Paid to Learn Webinar, Get the Real Story)
We are planning to rent buses to bring participants from Toronto (and possibly Ottawa) on Thursday, returning on Thursday evening and Friday evening, and to arrange for discount accommodations. We will keep you posted as we finalize details.
 
Some examples of departmental events from last year are: open houses, prof talks, student panels, meet and greets, tours and social events/receptions. Please contact Vicky Arnold  (our new Marketing Manager with responsibilities for marketing graduate programs) to let us know about your events as soon as possible, so that we can list them on our website and registration system, and promote them as a part of our week (we can also coordinate with the School of Graduate Studies about including your events on their website on your behalf). Please also let Vicky know if you have other ideas for Faculty events, suggestions for student panelists or volunteers, or if you would like to reserve seats on our buses.
RecruitmentFundsDepartmental Recruitment Funds

All Departments have a budget from FAS of $3,500 (this is separate from SGS recruitment funds). Our marketing team would be happy to help spend it on Grad Week initiatives or at another appropriate time. Support we can provide includes:
  1. Phone campaigns - training, cover long-distance calls, wage for students for calls
  2. Graphic design for any posters, signs related to recruitment directly
  3. Professional printing of Grad Maps as you require them
  4. Print ads - design and ordering 
  5. Swag items / bags for special events related to grad recruiting
  6. Photography for grad related events / materials
  7. Website critiques and advice, including SEO advice
  8. Mass email communication tool, list development and content writing as well as statistical reporting
  9.  Manage digital ad campaigns (Facebook, LinkedIn, Google Adwords, Weather Network, i.e.)
  10. Webinars - promoting, administering 
  11. Recruitment Materials - slidedeck(s), swag
Graduate Coordinators should speak to their Department Heads about using these funds. If our marketing team provides services, Departments will need to do a reverse journal entry to the Faculty Office to cover expenses.
FeeApplication Fee Reimbursement Update

To support current Queen's students interested in continuing their studies in the Faculty of Arts and Science, we recently launched a pilot to reimburse application fees for undergraduate students with cumulative averages of A- or above applying to one or more of our master's programs. We will also reimburse application fees for master's students applying to one or more of our PhD programs that are currently completing their master's at Queen's and have the recommendation from their department for reimbursement. You may wish to reimburse application fees for B+ undergraduate students from your own budgets (including processing reimbursements within your department).
 
The reimbursement for A- and above undergraduate students is processed automatically (we receive applicant lists from SGS monthly, which we will check against our email list for our undergraduates). The reimbursements for master's students are at your recommendation, so please inform  Vicky Arnold if you have students that you would like us to reimburse. We will process the reimbursements, which normally takes two to three weeks, and send cheques to your departments so that you can follow up with your students. We currently are processing the first cheques, which should arrive at departments within the next few weeks.
DeadlineYour Application Deadlines

We suggest the use of consistent wording on SGS, FAS, and departmental/program sites with regard to deadlines. For programs with soft deadlines, rather than using the word deadline, we'd suggest "Recommended Submission Dates" or "Application Timeline". We would also suggest the two options below for wording related to deadlines. Could you please inform Vicky Arnold about the wording you would prefer to use, so we can update our FAS website and request that the SGS update their website.

Option 1
Our application window opens annually in September. The application review process begins on DATE (e.g. February 1) and continues through the Spring. You have a competitive advantage if you submit your application before the review process starts, but applications may be submitted after DATE (e.g. February 1). We start to send out offers of acceptance on DATE (e.g. March 1). Please reach out to us for more information or begin your application.

To be considered for the top Queen's awards and scholarships, you should apply for federal and provincial graduate awards (NSERC, SSHRC, CIHR and Ontario Graduate Scholarships) in the Fall. We also recommend that you submit your application to our School of Graduate Studies as early as possible.

Option 2
Our application window opens annually in September. We review applications and make offers of admission as applications are submitted. Applications must be submitted by DATE (e.g. February 1) to be considered for internal awards. Applications received after DATE (e.g. February 1) are accepted, and successful applicants may be offered funding, on a case-by-case basis, so please so please reach out or begin your application.

SGSSGS Application System Change & Viewing Applications in Process

In response to requests from Graduate Assistants, the SGS changed the default setting in their Application System to show applications submitted only. You can still see the names and email addresses of applications in progress (as was the case previously) by changing the settings in the application state drop menu.  Monica Corbett is available to work with individual assistants who need help with running these reports.

Deans Awards
We are now offering the following Faculty of Arts and Science Dean's Graduate top-up awards:
  • Dean's Award for Women in Science
  • Dean's Award for Social Justice
  • Dean's Award for Environmental Justice
The awards for Women in Science, Social Justice, and Environmental Justice are based on academic merit and are intended to support graduate students in making contributions to their field of study. The maximum value of the top-up award is $3,000 (in addition to the applicant's funding package). There is no deadline and no applications are required for these awards. To be considered, all applicants need to do is apply to a relevant Arts and Science graduate program that starts in September 2018.
 

Departments should nominate an outstanding candidate for the relevant award by forwarding the application and a short memo explaining why the candidate is strong and how their research aligns with the award title to Diane Reid. Decisions will be made by a selection committee, which will review nominations on February 16 and then weekly until all (7) awards have been distributed. Decisions will be communicated to Departments shortly following, which should then communicate the results to their applicants as a part of the recruitment effort. 


Project and Portfolio PhD Research
To advance its intermediate and longer-term goal of re-envisioning the doctoral study, the Faculty is introducing the FAS Awards for Project and Portfolio PhD Research. This award program provides financial support for students pursuing doctoral research who are undertaking a project option and/or a portfolio PhD. The PPP Award supports costs directly related to the completion of the degree to a maximum value of $3,000. It will support graduate programs in FAS, which are responding to increased student demand for non-traditional, or "alternative" doctoral formats that accommodate different research contributions and applications, new forms of knowledge mobilization, the development of new competencies (i.e. digital, entrepreneurial), and that foster student awareness of the transferable skills acquired in the completion of the doctoral degree. The Award is targeted to doctoral students who have completed their comprehensive or qualifying examinations. 
Pre-Doctoral Fellowships for Indigenous Students 
The Faculty is inviting applications for four one-year Pre-Doctoral Fellowships for Indigenous Students. The Fellowships are open to Indigenous students enrolled in a PhD program and working on doctoral research in the creative arts, humanities, social sciences or natural and physical sciences at an accredited university other than Queen's University. Candidates must have completed all doctoral degree requirements except the final doctoral project (e.g. dissertation). They will be expected to compete their doctoral project during their tenure as a Fellow to receive their degree from their home institution.
 
The Fellowship holder is required to relocate to Kingston while completing their research in order to teach one course in the Faculty of Arts and Science and contribute to the intellectual life at Queen's University. We are hosting a webinar on February 15 and the application deadline is 1 April 2018. QROFReminder: QROF Post-Doctoral Fund Deadline: January 30, 2018

An objective of the  Strategic Research Plan (SRP) is to foster greater recognition of trainees as research leaders of the future. This includes supporting post-doctoral fellows (PDFs), their contribution to research and to advancing Queen's University. The Post-Doctoral Fund is intended to attract outstanding PDFs to Queen's University each year. The fund includes salary support for up to three PDFs. In addition, this fund makes travel money available on a competitive basis to all PDFs employed at Queen's.   

The objective of this program is to attract outstanding PDFs to Queen's. Funding is intended to provide one year of salary support for up to three PDFs who have indicated their intention to hold the post-doctoral fellowship at Queen's University.
