There's still one week left of our Annual Cookie Program but with March 11th just around the corner, many troops are thinking about the steps they need to take to finalize their troop's program.
TONIGHT, Sunday, March 4th, 9 pm
, is your last chance to order from a Cookie Cupboard. Troops who had been assigned to SU cupboards are now assigned to the closest regional cupboard. This helps us consolidate product and not order what we won't use.
Troops who have damaged packages and have not yet exchanged them for good packages should visit their local cupboard to pick up replacement packages during regular cupboard hours; we will not credit troops for damages.
What are your next steps?
1. Make sure all cookie transfers are completed to girls.
2. Make sure all cookie payments girls have turned in are recorded in Smart Cookies under Girl Transactions.
3. Run the Girl Balance Summary report on Smart Cookies to confirm all transfers and Cookie Share credits are accurate* and confirm that girl balances are paid in full.
4. Make sure all deposits to the Product Sales Account are recorded in Smart Cookies under Troop Transactions.
5. Run the report 'Troop Balance Summary' on Smart Cookies to see if you have a balance due. If you do, and the balance is not due to still having cookies left or a parent not turning in money owed, you need to pay off the balance. For troops with accounts that were not set up by council, write a check for the balance due and deposit into the Product Sales Account. This deposit should also be recorded in Smart Cookies under Troop Transactions. Run your Troop Balance Summary Report to confirm your balance is zero. (Troops with Bank of America will receive a separate Cookiegram next week with alternate.)
6. Sign up for your Service Unit Product Sales Manager's (SU PSM's) Turn in Meeting
*If you have Cookie Share corrections to make, email your troop number, the girl(s) name(s) and details of the correction to [email protected].
There are key directions and reminders on page 19 regarding turn in and running reports -- be sure to review.
Your final step, completing your troop's recognition order must be completed by 11:59 pm, March 15th.
Now is the time to confirm what choices the girls want (item vs Cookie Dough) and what size shirt (if they have earned) they need. Remember, there are no exchanges after the fact. And keep in mind those customers who received Direct Ship email links from girls using the online portal can still order up until the end of the day on Sunday, March 11th. If you create a recognition order before final numbers are in, you may need to go back and edit.
FYI, Recognitions:
- You will not see Achievement Bars or Cookie Share patches on your order in Smart Cookies. Those are handled separately
- Girls who have earned the Pullover at the 750+ level will be contacted for size and other information by council later this month.
- At the 600+ level there is a third option of an annual membership for 2018-19. This was a late addition and covered in TCM Training; you will not see it on your recognitions worksheet.
- REMINDER: Girl Scout Day at Worlds of Fun is May 12, 2018. Your recognition worksheet says May 5.
