Dear Volunteers,

 

Whew!  What a month April was!  Now that the 2014 Spelling Bee is behind us, we are back to our normal routine.  Thank you for all of your help and, more importantly, your patience as we spun so many plates last month.  The event was a great success from all angles and we are thrilled with the results!  Now, it's back to our normal routine.  

 

In this issue of the newsletter, you'll find some new information on programming, as well as how to report your volunteer hours so please make sure you check it all out!  Also, please take a moment to look at the Volunteer Needs list - there are several upcoming community events for which we need volunteer assistance.  If you're able to help with any of the events listed there, please let us know ASAP!  It's very important we are represented at these types of events so that we can increase our presence in the Kansas City area and spread the word about what we do in an effort to grow our student and tutor populations.

 

We had the help of many of our volunteers and tutors at the Spelling Bee this year, but for those of you who were not able to attend, I thought you might like to see the video that we played for our guests to help them understand the importance of what we do.  Check out the video on our YouTube channel, HERE.  But don't forget to come back to read the rest of the newsletter!

The 20th Annual Corporate Spelling Bee,  held on April 24th at UMKC's Pierson Auditorium, was a smashing success!  On behalf of the Literacy Kansas City staff and Board of Directors, our most sincerest THANK YOU to all the volunteers who helped with the event.  We hope you had fun, too!

USED LAPTOPS NEEDED!
With the start of our new program, The Family Literacy Project, we are in need of used laptops.  Upon successful completion of a digital literacy course through Connecting For Good, our students in the Family Literacy Project will be given a $50 voucher for a refurbished laptop.  You could help them get connected in the digital age in which we live!  Don't worry about your data privacy, as Connecting For Good will wipe all data using Active Killdisk.  This is in adherence with the U.S. Department of Defense Standards (DOD 5220.22M).  For more information or to donate your laptop, contact Logan Hartpence at 816-333-9332 x.112.
 
INTRODUCING... 
COMMUNITIES OF EXCELLENCE
Literacy Kansas City is excited to announce a new program, Communities of Excellence!

Communities of Excellence are quarterly tutor forums facilitated by Jan Wilkinson, a Literacy Kansas City tutor and volunteer.  The series provides the opportunity to network with other tutors, share ideas, get advice on challenges and find out what Literacy Kansas City is doing in the community.  Our tutors have a wealth of knowledge; Communities of Excellence will enable tutors to share that knowledge with one another and leverage the resources we have right here within our own community of tutors.  Literacy Kansas City will also use these forums as opportunities to gather data that we can use to refine our programming and tutor training.

Quarterly forums will be held in various areas of the metro region so that you can attend one near where you live.

The first forum will be the Northland Tutors' Community of Excellence (though any Literacy Kansas City tutor is welcome to attend, regardless of where you live, and we hope you do!)

It will be held at the Antioch Branch of Mid-Continent Public Library (6060 N. Chestnut Ave., Gladstone, MO 64119) on Saturday, May 17 from 9:30 a.m. - 11:30 a.m.

ANNUAL TUTOR CERTIFICATION REQUIREMENTS
All Literacy Kansas City tutors are required to attend two tutor workshops per year:
  • one session of his/her choosing from a variety of topics held throughout the year
  • one session of Sensitivity Training  

New tutors (and existing tutors who have not previously participated in our Sensitivity Workshop) should plan to participate in Sensitivity Training as soon possible after beginning tutor work with a Literacy Kansas City student.  Our students come from a variety of social, cultural, and socioeconomic backgrounds; Sensitivity Training, led by Senior GEARS Instructor Phil Denver, helps us to establish positive relationships and interactions with those whose backgrounds and life circumstances may vary from our own.

IMPORTANT REMINDER FOR TUTORS
Please remember that all tutors are required to submit a monthly progress report, regardless of the program in which you tutor.  You can pick up hard copies of the progress report form in the office or download either a Microsoft Word or Adobe PDF version on our website.  Progress reports are due by the 5th of each month for the previous month's hours.  
Why are progress reports so important?
  • We have 350+ active tutoring pairs at any given time and though we try our best to keep up with each pair, receiving the progress report with information on what was accomplished within the month helps us monitor pairs a little more systematically.
  • Literacy Kansas City relies heavily on grant funding to operate.  One key component to receiving grants is the reporting that goes along with them.  Funders want to know that we are using their money for the purposes we said we would, and that our efforts are showing results.  Your progress reports are a key element in demonstrating to funders exactly what it is  we do to help students learn to read.
How do I submit a progress report?
  • Complete it electronically in Microsoft Word, save it to your computer, and email it to [email protected]
  • Print a copy of a blank progress report and complete it by hand, then:
    • email it to [email protected] -OR-
    • fax it to 816-444-6628 -OR-
    • mail it via USPS to 211 W. Armour Blvd., 3rd Floor, KC, MO 64111 -OR-
    • drop it by the office in person (we'd love to see you!)
When do I submit a progress report?
  • Effective immediately, progress reports are due by the 5th of each month for the previous month's hours.  
Oops!  I haven't been submitting progress reports.  What should I do?
  • Better late than never!  Please turn in as much information as possible, even if you don't think you can remember everything.
  • We understand that from time to time, extenuating circumstances may lead to missed sessions or a late progress report submission.  Don't worry!  We're all human so you won't catch too much grief from us - we just need the information, so go ahead and turn it whatever you have, even if it's not much.

**Note:  A new progress reporting system is in the works, which will make submitting tutoring hours very quick and simple.  We know that our current progress reporting processes are a bit clunky.  Bear with us as we finish our data systems overhaul in the next couple of months.  We promise it will be worth the wait and we thank you for your patience!

MATH PROGRAM
We are approaching the completion of our first term of the Literacy Kansas City Math
Program. We are so grateful to our tutors that have committed to making this program
a success. Let's give three cheers for our tutors from the first term: Falak Ghatala, Larry Hanlon, Pat Schroeder and Evan Black. Beth Brown has a class available this next term that we hope to fill with new students.

We are so proud of our students who are working hard in reading tutoring and math classes. That is quite a commitment! The students who are completing the first term of classes are:

Would your student be interested in improving their math skills? The next fourteen-week session begins May 5, 2014. The current schedule for math classes is as follows:

Monday 9:00 a.m-10:30 a.m.
Monday 5:30 p.m.-7:00 p.m.
Tuesday 10:30 a.m.-12:00 p.m.
Tuesday 6:00 p.m.-7:30 p.m.
Thursday 5:30 p.m.-7:00 p.m.

There is limited space available, as each tutor works with a small group of around three students. We will enroll students on a first-come, first-served basis. Students must go through an orientation and testing session before beginning classes. Orientation will occur the first week of May so students must contact us ASAP. If your student would like to attend math classes, please have them contact Gillian Helm by email at [email protected] or call our office.
DOES YOUR STUDENT NEED GLASSES?
LensCrafters has a program called OneSight in order to help those in need get a free eye exam and glasses.  If your believe your student would benefit from this, please direct them to a Literacy Kansas City staff member and we will help get them set up for an appointment.  Every LensCrafters in the nation is able to serve up to two clients per week on a first come, first serve basis; therefore, it is not a guarantee the student will be able to get the exam and glasses right away, but it's a great resource for them to check out!

  • Rainy Day Books Events: All of these events will be held at Unity Temple on the Plaza. We need 2 volunteers each night to hand out information.  The events begin at 7 PM but please be there by 6:30 PM.
    • Thursday, May 8 at 6:30pm
    • Sunday, June 1 at 2:30 pm
    • Tuesday, June 17 at 6:30
    • Thursday, June 19 at 6:30
  • First Fridays: We need volunteers to help hand out information at a table set up in the Crossroads District.
    • June 6
    • July 4
  • Community Outreach:
    We are constantly working on spreading the word about our wonderful organization by going to outreach events.  We are in need of volunteers who are interested in going to different events to help spread the word about Literacy Kansas City!
  • May 18: Tour de Bier KC- 4-6 volunteers needed to staff a table.  Riders will get to vote at the end of the ride for their favorite stop and that organization wins $2,000!  Looking for volunteers who will help design, create, and staff a fun, engaging rest stop for riders!
  • June 7: Convoy of Hope 2-3 volunteers needed to staff a table. 
  • June 7: New Life Worship Center Community Festival - Volunteers needs from 12:00 - 4:30 PM to staff a table to help spread the word about LKC.

Special Projects

  

We are currently looking for volunteers to help us with some special projects and we'd love your help!

  • Paperless 2013 - it's now 2014 and we've made tremendous progress on our Paperless 2013 Project, but we're not quite finished.  We need a bit more help scanning some of our paper files into our electronic filing system.
  • Database Conversion - we have begun our conversion to a new database. Volunteers working on this project would help primarily with data entry.

  • May 9: GEARS Student Celebration - 1:00 - 2:00 PM at MCC-Penn Valley Education Center.
  • May 17: Communities of Excellence Forum - 9:30 - 11:30 AM at the Antioch Branch of the Mid-Continent Public Library

GEARS Summer Tutoring
GEARS will be in session this summer, but due to the brevity of the academic calendar, will not incorporate a one-on-one tutoring piece.  Current GEARS tutors interested in continuing with their current student should contact Program Coordinator Cornita Robinson to let her know and discuss next steps.  Tutors who will not be continuing with a current student but who would like to continue to tutor over the summer should consider the Family Literacy Project - contact Logan Hartpence for more information.
 
Math Classes
We have begun math classes again! Any of our students in the General Program that has shown regular attendance are eligible to participate.  If your student has shown an interest in Math please have them contact Laura Cardwell for more information.  Her email address is [email protected] or call her at 816-333-9332 x105

 

Classroom/Kitchen Policy
Please be aware that this is where staff holds meets frequently and also need to be in and out of this room to get to the kitchen.  You are more than welcome to use this room, but please confirm with a staff member that there are no scheduled meetings during that time. Pairs working in the classroom should expect some interruption as staff and other volunteers need access to the space.

Substitute Tutors
There are many times when our tutors travel for vacation or need to take a break for personal/health reasons, but do not want to end the relationship with their student when they return.  We are looking for a few tutors who would be willing to be on a list of substitute tutors in these instances.  You would only be tutoring a student for a short time period to keep the student on track while their original tutor has to be away.  If you would be interested in being in this pool of tutors to be on a sub list for tutors who have to take a temporary leave of absence please let Haley or Kim know.

Free Dictionaries for Students
We were able to obtain more of the "A Student Dictionary" to give out to students.  If you feel this would be a great resource for your student, you are welcome to come by the office to get one!
Friendly reminders...

 

- Tutors and students should always meet in a public place.

 

- It is our policy that tutors are never to give rides to students. Should an extenuating circumstance arise, tutors must get permission from Literacy Kansas City to give a ride to a student. 

 

- Tutors are required to submit monthly progress reports to Literacy Kansas City. A copy of the progress report can be found online at www.literacykc.org/volunteer.html

 

- Text book requests must be made by the tutor.  Students requesting books will be referred back to their tutor. Please contact Administrative Assistant Kim Rogers ([email protected] OR 816-333-9332 x. 108) for text book requests.  All general program students are responsible for purchasing their books - only tutors may check out books.

 

- All volunteers, tutors, and students meeting at the Literacy Kansas City office must sign in upon arrival and sign out when they leave.

We have learners waiting for a tutor and we need your help spreading the word about this great opportunity.  Talk to your associates, give us their contact information and we will tell them more about opportunities here at Literacy Kansas City.  If one of these referrals participates in Volunteer Orientation, you will receive a Link Up gift bag in recognition of your ongoing support.

Reporting Volunteer Hours

We count all the volunteer hours that are submitted to us.  Most hours are logged in one of the following ways:
  • Workshop Sign-In Sheet
  • In-Office Sign-In Sheet
  • Progress Report

If you are participating in other events, such as community outreach or other special events where there is no sign-in sheet, it's possible we don't have those hours on file.  To make sure that we get those hours accounted for, all you need to do is send us an email with the following information:

  • Activity you completed (i.e. Community Fair, First Fridays table, Rainy Day Books event, etc)
  • Date you completed the activity
  • Number of hours you spent on the activity
You can send us one email at the end of the month listing all of your volunteer hours OR you can send us the information as you go - whatever works best for you.
