Extraordinary Planners Share Common Traits
 
Sometimes even the most brilliant among us have to be reminded to do the simplest things. Always tell your mom you love her and always always always triple check before you hit "Reply All."

So too, great meeting planners need to be reminded of some of the basics. Louise Felsher, writing for Meetings & Conventions shared the "Common Traits for Top Planners." Here's what she suggests:

Be Adaptable: Planning meetings is all about adapting to change, and good planners are able to do this and go with the flow.

Be Organized and Energetic: Successful planners manage budgets, mentor a team, design and execute marketing, book talent, oversee operations. And they thrive in these high-stress scenarios.

Be Dedicated...At All Hours: Planners typically keep long hours...and need to work within the time zone of the suppliers in the destination where the event will be held. They need to be accessible on a round-the-clock basis.

Be Motivated by More Than Travel: Most meeting professionals consider it a bonus if they get off-property and see something other than the airport, meeting space and their hotel room once the event is up and running.

NHS Global Events has a few more tips to add:

Be Able to Juggle Multiple Tasks: Great meeting planners have the rare ability to facilitate and execute multiple items for consecutive weeks with great aplomb.

Be Versatile: Each client, meeting, and supplier partner are unique. The ability to be flexible and change course quickly is a big asset.

Another common trait of those in the meetings industry is openness to a multitude of perspectives. According to Peter Schmidt, NHS Global Events Director of Global Accounts, "One of the great aspects of working with a variety of clients is the large view of the world that inevitably comes from working in a multicultural business."

Cleaning Up and Helping the World

If you're ever wondering what happens to all that discarded soap and shampoo you only half used during your last hotel stay, this story will give you an idea. And it might also inspire you when you're looking for a CSR (corporate social responsibility) activity for your company event.
 
Clean the World collects and recycles soap and hygiene products that are discarded daily by the hospitality industry. They are then redistributed and donated to impoverished people or those who are temporarily homeless.
 
Nicole George is the Meeting Planner Program Coordinator and the ONE Project Manager. "All of our items that are brought in via the hospitality program get recycled and sterilized and go into hygiene kits. The kits can also include items like a razor and tooth brush."
 
The ONE Project is the CSR activity that your group can take part in. "Groups assemble the kits and they are distributed to a charity local to where your meeting is being held," George said. "If the group doesn't know of a local charity with a need for the hygiene kits, we can find one for them. We have hundreds of groups in need."
 
These include disaster relief victims, women's shelters, religious organizations, domestic violence victims and others. A representative of the group receiving the kits can also come and talk to your group about the work they do and the people who will benefit from these kits.
 
The ONE Project is a natural opportunity for team building. "Participants grow closer while assembling these kits," George explained. "It's very fulfilling."
 
Last year, Clean the World distributed 400,000 hygiene kits throughout the world. They require a two-week lead time to get you all the items you'd need for your event.

Oh wouldn't life be easier if we had that genie in a bottle that would grant us three wishes? Or even one?

Moore says that the entire executive staff at AAPP has benefited from the change. "Whatever we request, Amanda is Johnny on the spot. Of course, Jennifer has always provided us that kind of service, so why would we expect anything else? We highly recommend NHS Global Events to other associations."

Says Reece, "I serve as a point of contact between the AAPP members and the board members. I respond to emails, phone calls, send out dues notices, and process dues and new member applications. We're still in the learning phase, so we'll probably add to those responsibilities."
