Dear Delta Dental of Virginia Broker,  

 

We're going green and making it even easier for your group clients to administer employee benefits with our new online billing system! Online billing and eligibility management will soon be required for all small groups. The change will be taking place over the next few months, starting with new groups.

 

New groups loaded on 2/18 or later will be set up for online billing starting with their May bill generated on the 7th business day of April. Updated documentation needed for online billing is now included in our rate quoting system. Please ensure that a separate web authorization form is completed for each group-approved individual who may need to utilize eligibility and the online billing tool when you sell new groups.  

 

Existing groups will be converted to online billing in 3 waves for June, July and August bills.

 

This week, all groups will receive a postcard as a head's up that they will soon be receiving information about online billing. Within the next couple of weeks, all existing groups will receive a letter and online billing packet containing the essential information they will need to make the move to online billing, including a link to our online billing help page. In mid-April, mid-May, and mid-June, the three waves of existing groups will be receiving an additional mailing with further instructions, a new web form to be completed and returned, and a webinar training schedule.

 

Please note: When a group is converted to online billing, the billing run date will change from the 15th to the 7th business day of the month, eligibility changes will be accepted online only through the billing date of the following month, and ACH drafts will change from the last Monday of the month to the first business day of the following month. We will notify groups of these changes.
